What small business air conditioning actually costs in the West Midlands — salons, offices, dental and aesthetics clinics, studios, Airbnbs and holiday lets. Supply, install, commissioning, F-Gas certificate and clean-up included. Business prices are quoted + VAT, which most customers reclaim.

The tax bit, in plain English
A £2,500 + VAT install costs £3,000 on the invoice. If you're VAT-registered you reclaim the £500, and the £2,500 normally qualifies for the Annual Investment Allowance — a 100% first-year deduction against taxable profit. At 25% corporation tax that's another £625 back. Net cost lands nearer £1,875 than £3,000. Your accountant will confirm for your setup.
What changes a business price
Occupancy and equipment
People, dryers, autoclaves, screens and ovens all add heat load. We size on the real room, not floor area alone — undersizing is the most common fault we're called out to fix.
Ceiling type
A suspended ceiling opens up cassettes for a near-invisible finish; solid ceilings mean wall units. Cassettes add roughly £700–£1,100 per room.
Outdoor unit position
Flat roof or high-level mounting can add £150–£400 for access equipment and brackets.
Trading hours
Closure-day and evening installs are free within reason; a genuine night shift is quoted separately.
Landlord requirements
Some managing agents insist on specific brackets, acoustic mounts or a make-good clause. We price that in once we've seen the lease conditions.
Electrical supply
A dedicated commercial spur is typically £150–£280. Three-phase boards and older distribution may need an electrician's report first.
What we take on — and what we don't
We're a domestic-scale installer doing small workspaces properly: rooms up to about 40m², up to four or five rooms on one system. That covers most salons, barbers, clinics, studios, small offices and short lets. Full building HVAC, ducted systems and VRF across multiple floors aren't our trade and we'll say so rather than learn on your job.
Business FAQs
Why is business air conditioning quoted + VAT when domestic is 0%?
The 0% rate applies to qualifying energy-saving installs in residential accommodation only. Commercial premises are charged at the standard 20% rate — but as a VAT-registered business you normally reclaim it, so the net cost is often lower than a homeowner pays.
Can we write the install off against tax?
Air conditioning installed in business premises usually qualifies for the Annual Investment Allowance, which lets most small businesses deduct 100% of the cost against taxable profit in the year of purchase. Your accountant will confirm based on your circumstances.
Do you do full commercial HVAC?
No. We're a domestic-scale installer that does small workspaces well — rooms up to about 40m² each, up to four or five rooms. Ducted systems, VRF across a whole building or 20+ desk floors we'll pass to a commercial specialist rather than pretend.
Can you invoice the business and give a VAT receipt?
Yes. CoolAir Midlands trades as M3 Trades Ltd, which is VAT-registered, so you get a proper VAT invoice with the number on it.
Do you charge extra for weekend or evening work?
Not within reason. Salons, clinics and offices normally want a closure-day fit and we'd rather do that than have you lose a day's trading.
What about ongoing servicing?
Commercial systems should be serviced annually to keep the warranty valid and the filters clean — £95–£140 + VAT per system, or a maintenance plan across multiple units.
